Mobile Boba Catering
Muse & Co offers a hosted off-site boba bar for conferences, campus programs, offices, and celebrations. Customers start at ncmuse.co/catering, where they can build an estimate and submit the event details.

The online proposal is an estimate, not a confirmed booking. Do not promise the date, menu, tax treatment, or facility setup until management completes the operational review and sends the final written quote.

The proposal shows estimated tax and a 50% reservation retainer. A qualifying institutional purchase order may be accepted instead. Management confirms final tax treatment and exemption paperwork.
Drink Capacity and Service Hours
Use 50 drinks per hour as the service-team capacity. This is a minimum-time rule, not a maximum duration for a smaller event.
- 50 drinks require at least 1 hour. The customer may request 5 hours if desired.
- 100 drinks require at least 2 hours.
- 101-125 drinks require at least 2.5 hours.
- 126-150 drinks require at least 3 hours.
- 400 drinks require 8 hours, the largest instant estimate.
Customers may choose a longer service window in half-hour increments, up to eight hours. More than 400 drinks, more than eight hours, or multiple service dates require a custom review.
What the Customer Provides
The catering form asks for:
- Drink count, expected attendance, service duration, and arrival pattern
- Event name, date, start time, and complete venue location
- Indoor/outdoor placement
- Grounded 120V power near the service station
- Ice or cold-storage availability
- One or two six-foot tables
- Setup-access time
- Loading zone, parking, stairs, elevator, and check-in instructions
- Dietary or allergy considerations
- Procurement, menu, or other notes
- Optional floral tea gift type, recipient group, and quantity
Attendance may be higher than the drink quantity. Gift quantity may differ from drink quantity but cannot exceed expected attendance.
When an Inquiry Arrives
- Open Catering in the staff portal. New requests also appear under Pending Actions. The same request is copied to
[email protected]and has a number such asCAT-20260903-AB12. - Confirm the requested date and staffing availability. Standard estimates include three attendants.
- Check the drink count against the requested service window at 50 drinks per hour.
- Confirm the curated menu and one-topping scope. Do not promise unavailable or unlimited drinks.
- Review power, ice/cold storage, tables, setup access, load-in, parking, and placement.
- Confirm the final drink and gift counts, packaging, allergy notes, tax treatment, travel, and procurement requirements.
- Send the final written quote. The date becomes reserved only after an approved purchase order or reservation retainer is received.
Using the Staff Catering Dashboard
The staff queue is available to managers and admins at staff.ncmuse.co/catering.
- Save stores operational changes without emailing the customer.
- Ask for details emails the optional note and changes the request to
needs infoafter successful delivery. - Save & send quote validates and recalculates every line on the server, emails the reviewed proposal, and changes the request to
quote sent. - Approve & email sends the customer a confirmation and changes the request to
approved. - Decline & email asks for confirmation before sending and changes the request to
declined. - Resend acknowledgment sends a receipt/update without changing reviewed pricing.
Use the adjustment label and amount for an approved travel charge, discount, special rental, or other scope change. Never hide an adjustment in a different line item. Confirm the tax rate and proposal-valid-through date before sending. Internal staff notes are not included in customer emails.
If two managers open the same request, a stale save is rejected and must be refreshed. If email delivery fails, the request status does not advance. Email delivery attempts are audited and repeated delivery keys cannot send a duplicate message.
Older email-only inquiries appear with a legacy unstructured inquiry warning. Ask for current details; the dashboard blocks price and approval emails until a structured quote exists.
The customer's proposal PDF contains the same quantity, hours, pricing, site responses, and next steps shown in the live estimator.
Important Exceptions
Escalate for management review when any of these apply:
- More than 400 drinks or eight service hours
- Multiple dates or split service windows
- A compressed rush that may not support the normal 50-drink/hour pace
- Outdoor placement without a weather and power plan
- Missing power, cold storage, tables, or adequate setup access
- Travel outside the normal service area
- Espresso service, unlimited drinks, special equipment, venue fees, permits, or parking costs
- Material allergy or ingredient-documentation requirements
Avoiding Duplicate Requests
Each submission has a stable request number. If the customer retries identical details after a connection problem, the system returns the original result instead of creating a duplicate. If the email notification is delayed, the database copy is still available; ask management to search by the request number.
