Promotions System
Muse & Co has a unified promotions system that manages all temporary pricing — both percent-off discounts and Pay What You Want.
Overview
All promotions are managed from the admin portal: Settings > Promotions. There's also a direct link in the sidebar under "Kitchen > Promotions".
Types of Promotions
Percent Discount
A standard percentage off the regular price.
- Example: "50% off Hot Chocolate" during a winter storm
- The discount is applied automatically — customers see the reduced price on the menu
- Badge shows on the drink card (e.g., "50% OFF")
Pay What You Want (PWYW)
Customers set their own price for selected drinks.
- Example: "Wild Wednesday — PWYW on all coffee and tea"
- Customers see "Name Your Price" instead of a dollar amount
- They enter any amount ($0 and up) in the drink customization modal
- Requires sign-in — guests add at regular price
- See Pay What You Want for full details
Creating a Promotion
- Go to Settings > Promotions in the admin portal
- Click New Promotion
- Fill in:
- Name: Internal label (e.g., "Wild Wednesday", "Happy Hour PWYW")
- Type: Percent Discount or Pay What You Want
- Target: Specific Items (multi-select) or Entire Categories (multi-select)
- Date Range: Start and end dates
- Time Window: All day, or specific hours (e.g., 2 PM - 5 PM ET)
- Days of Week: Which days the promo runs (e.g., Wednesdays only)
- Badge Text: What shows on the menu (auto-filled, editable)
- Active: Toggle on/off
Quick Presets
For fast activation, use the preset buttons:
- Next 1hr / 3hr / 6hr — Starts now, ends in N hours
- Rest of today — Now until closing
- Today / Tomorrow — Full day
- This weekend — Saturday and Sunday
- This week — Through Sunday
"+90 days" Button
For evergreen promotions, click "+90 days" next to the End Date field. This sets the end date 90 days out — just remember to review and extend when it approaches.
How Promotions Appear to Customers
- Banner: A warm amber/orange gradient banner at the top of the home and menu pages announces active promotions. Shows the category/item names and when it ends.
- Menu Cards: PWYW items show "Name Your Price" in amber. Discount items show the badge text.
- Drink Modal: PWYW items have a "YOUR PRICE" input section with a transparency blurb. Discount items show the reduced price.
- Dashboard: The customer's "Your Usual" and favorites sections show "Name Your Price" for PWYW-eligible items and redirect to the menu for pricing.
How Promotions Work Internally
- Promotions are stored in the
promotionstable in D1 - The
/api/menuendpoint resolves active promotions at request time using Eastern Time - Item-level promotions take precedence over category-level
- PWYW promotions take precedence over discount promotions (if both target the same item)
- The customer-facing
/api/promotionsendpoint returns currently-active promotions for the banner - Checkout validates PWYW prices server-side — if PWYW is active, the customer's price is honored; otherwise, the database price is enforced
Staff Guide
- When a promotion is active, the banner is visible to all customers on the website
- POS orders created in-store use regular pricing (promotions are online-only)
- If a customer asks about a promotion they saw online, you can confirm it's active and direct them to order through the app
- Monitor the "Active Promotions" widget on the admin dashboard to see what's running right now
